Where is the data hosted?
UK (AWS eu-west-2 London) for UK-based organisations; EU (Hetzner Falkenstein / Helsinki) for EU. Multi-tenant SaaS with row-level tenancy isolation. ISO 27001 in progress, Cyber Essentials Plus from day one, NHS DSPT-ready. No on-prem.
What if our procurement requires on-premise?
We don't ship on-premise. Most public-sector procurement (G-Cloud / Crown Commercial) now favours cloud explicitly, and we provide the certifications to meet it. For very large customers with strict isolation needs, we offer Dedicated Tenancy — same product, isolated database and KMS key — at +50% on the tier price.
How accurate is the AI extraction?
We use Claude Sonnet 4.6 with Zod-validated structured output and a 30-page deep read. Lease term and break-clause extraction sits at ~98% exact match on our benchmark corpus; FRA review dates at ~99%. Every extraction shows source page references and is one click away from a re-extract — you verify, not blindly trust.
What happens if Claude returns junk?
We Zod-validate the structured output. If it fails, we retry with a stricter instruction. If it fails twice we escalate to Opus and flag for human review. Nothing untyped lands in your database. The original PDF stays the source of truth.
Can contractors use it without a paid seat?
Yes — that's the point. Contractors, tenants, and read-only viewers are Light Users and are unlimited at every tier. You pay for Editor seats only.
How does this compare to other CAFM / IWMS tools?
Most competitors bolted AI on as a chat layer over a system designed in 2008. Proprietas is AI-native: PDF extraction is the primary input method, not an add-on, and triage / routing / Q&A run on the same engine. We also publish our pricing and load in under 200ms — features the older players still consider negotiable.
We're a small MAT (3 schools). Is the Compliance tier really enough?
Yes — 10 sites covers up to 8 schools comfortably. You can run the full statutory regime catalogue, get pre-expiry alerts, and export audit packs. Most 3-school trusts use 35-60 of the 50 AI extractions per month; overage at £50 per 500 is rare.
What about G-Cloud?
We're applying to G-Cloud 15. Public-sector customers can buy via the framework with a 5-10% discount and a multi-year option. Until our G-Cloud listing is live we sell direct under a standard SaaS agreement.
